Position Overview

The Warehouse Supervisor will play a key role in managing daily warehouse operations. This includes supervising staff, handling inventory control, managing shipments and deliveries, and enforcing health and safety protocols. The ideal candidate will possess a blend of technical know-how, operational excellence, and leadership capabilities to drive efficient warehouse performance while aligning with company goals.

Key Responsibilities

Inventory Management

  • Maintain accurate and real-time records of all inventory activities.
  • Monitor stock levels and initiate reordering processes to prevent out-of-stock situations.
  • Conduct routine physical inventory audits and reconcile data to resolve discrepancies.
  • Ensure that all goods are stored systematically to maximize space utilization and accessibility.

Shipping and Receiving

  • Oversee incoming shipments to ensure items match purchase orders and meet quality standards.
  • Coordinate timely and accurate dispatches of goods to central kitchens and retail outlets.
  • Handle shipping documentation, including delivery notes and goods received confirmations.
  • Quickly address and resolve any shipping or delivery-related issues.

Staff Supervision and Development

  • Lead and mentor the warehouse team, ensuring they meet daily productivity and quality standards.
  • Organize training sessions to develop staff capabilities and improve operations.
  • Conduct performance reviews, address underperformance, and implement corrective actions when required.
  • Promote a collaborative work environment and ensure adherence to company policies.

Procurement Coordination

  • Collaborate closely with the Procurement Manager for accurate inventory forecasting.
  • Support in preparing purchase orders and monitoring supplier delivery schedules.
  • Liaise with vendors to resolve delays or issues in order fulfillment.

Health and Safety Compliance

  • Implement and monitor compliance with all health and safety standards in the warehouse.
  • Conduct safety checks and maintain cleanliness in all storage areas.
  • Ensure that food items are stored according to HACCP (Hazard Analysis Critical Control Point) standards.
  • Address any risks or hazards promptly to avoid workplace accidents.

Reporting and Documentation

  • Keep detailed records of all stock movements, returns, and adjustments.
  • Prepare regular inventory reports for management review.
  • Ensure timely documentation and proper filing of all procurement, shipping, and inventory paperwork.

Skills and Qualifications

Educational Background

  • A Bachelor’s degree is preferred but not mandatory.

Professional Experience

  • A minimum of 2 years’ experience in warehouse operations, ideally within the food or hospitality industry.

Technical Skills

  • Proficiency in inventory software and Microsoft Office Suite (especially Excel).
  • Experience with ERP systems like Oracle is an added advantage.

Core Competencies

  • Strong organizational and time management skills.
  • Excellent communication and team leadership qualities.
  • Ability to generate, interpret, and analyze operational reports.
  • Detail-oriented with effective problem-solving abilities.

Physical and Operational Requirements

  • Must be capable of lifting items up to 20 kg.
  • Able to stand and walk for long hours, especially during inventory or loading periods.
  • Comfortable working in temperature-controlled environments such as cold storage.
  • A valid driving license is required for logistical coordination.
